BookmarkPro User Guide

BookmarkPro keeps your bookmarks organized, searchable, and available on Windows, macOS, and iOS. You can save links from the app, supported browsers, or the iOS Share Sheet, then choose whether to sync them across devices.

Your library stays in BookmarkPro unless you enable a sync option. BookmarkPro does not provide its own sync server; you choose the service or location that holds your synced bookmarks.

Build your library

When you add a bookmark, BookmarkPro can retrieve the page title and icon for you. You can also add a comment and choose a folder. Bookmarks that are not placed in a folder appear in Root.

Folders can contain bookmarks and other folders. You can move them later as your library grows, and desktop views can switch between list and grid layouts.

Deleting a folder also deletes everything inside it and cannot be undone. On desktop, Clear Contents empties a folder without deleting the folder itself.

Browser extensions

Find desktop browser extensions under Settings > Advanced > Browser Extensions. BookmarkPro supports Safari on macOS, Chrome, Edge, Firefox, and compatible browsers.

Clicking the extension sends the current page to BookmarkPro. The extension can also add recently visited pages to History. Its settings let you turn this behavior off, exclude particular websites, or allow the extension to launch BookmarkPro when needed.

iOS Share Sheet

Choose BookmarkPro from the Share Sheet in Safari or another iOS app. You can select a folder before saving the link.

Find and open bookmarks

Search checks bookmark titles, addresses, comments, and available History. Frequently used bookmarks may appear nearer the top, making regular destinations easier to reach.

History is optional. Turn it on or off under Settings > Advanced > History on desktop. History pages can appear in search and in the History window, and removing a History entry does not delete a saved bookmark.

Choose the browser BookmarkPro uses under Settings > General > Default Browser. Desktop keyboard shortcuts can be configured under Settings > Shortcuts.

Use widgets and desktop quick access

Add BookmarkPro from the iOS widget gallery:

  • Top Bookmarks shows bookmarks you use often.
  • Selected Bookmarks shows bookmarks you choose.
  • Folder Bookmarks shows bookmarks from one folder.

On macOS, BookmarkPro can appear in the menu bar, the Dock, or both. On Windows, it can remain available from the system tray. Before hiding the normal app icon, make sure you can reopen the app from the menu bar, system tray, or a keyboard shortcut.

Import, export, and clean up bookmarks

Import, Export, and Duplicate Bookmarks are available in the desktop apps under Settings > Advanced > Data.

Import and export

BookmarkPro works with the standard HTML bookmark files created by major browsers. Import shows a preview before adding the file's bookmarks and folders. Export creates an HTML copy of your current library that you can keep as a backup or use in another app.

Override existing bookmarks replaces your current local library during import. This cannot be undone, so export a backup first unless you are certain you want the imported file to replace everything.

Duplicate bookmarks

The Duplicate Bookmarks tool finds bookmarks with matching addresses. Review each duplicate set, choose the copy to keep, and then delete the others. The deletion is permanent.

Choose a sync option

Open Settings > Sync to choose how BookmarkPro shares bookmarks between devices:

  • iCloud syncs between Apple devices using the same Apple account. It does not include Windows.
  • OneDrive syncs across Windows, macOS, and iOS through your OneDrive account.
  • WebDAV syncs across Windows, macOS, and iOS through a WebDAV service that you provide.
  • Local Folder uses a folder on macOS or Windows. You may place that folder in another storage service if desired.

OneDrive, WebDAV, and Local Folder appear as File Sync options. Use Manage or Configure in Sync settings to add them. You can save more than one option, but BookmarkPro syncs with only the active one.

On Apple devices, iCloud Sync and File Sync Auto Sync cannot be enabled together. Turn off the active automatic option before enabling the other one.

Manual sync actions

  • Merge combines changes from BookmarkPro and the selected sync location. Use Merge when both sides may contain bookmarks you want to keep.
  • Upload replaces the bookmarks in the selected sync location with the library on this device.
  • Download replaces the library on this device with the bookmarks from the selected sync location.

Upload and Download cannot be undone. Check that you are keeping the correct copy, and consider exporting an HTML backup first.

How File Sync handles conflicts

When you use Merge, BookmarkPro compares changes made since the previous successful sync:

  • New bookmarks and folders from either side are added to the merged library.
  • If a bookmark or folder changed on only one side, that change is kept. A deletion is applied only when the copy on the other side was not changed after the previous sync.
  • If the same bookmark or folder changed on both sides, the version with the later modification time is kept.
  • If BookmarkPro cannot determine which version is newer, Merge stops without changing either library. Use Upload or Download only if you intend to replace one complete library with the other.

Switch between sync options

Sync important changes before switching to another File Sync option.

  • Switch & Download selects the new option and replaces the bookmarks on this device with its bookmarks.
  • Switch Only selects the new option but keeps the bookmarks already on this device. Auto Sync remains off until you decide how to combine the two libraries.

Protect synced bookmarks with encryption

Encryption can be enabled while adding or editing a File Sync option. Use the same encryption password on every device connected to it.

BookmarkPro cannot recover a lost encryption password. Save it in a secure password manager before enabling encryption.

Troubleshooting

The browser extension cannot reach BookmarkPro

Make sure the desktop app is installed and running. You can also enable the extension's auto-launch option. If the browser asks for permission to open BookmarkPro, allow it. Browser settings pages and other internal pages cannot be saved as normal bookmarks.

Recent History is missing

Confirm that History is enabled in BookmarkPro and that automatic History sending is enabled in the browser extension. Also check the extension's excluded websites.

File Sync controls are unavailable

Select a complete, active sync option. Sign in to OneDrive, enter the required WebDAV account information, or select a Local Folder. On Apple devices, turn off iCloud Sync before enabling File Sync Auto Sync.

The encryption password is lost

Bookmarks protected with that password cannot be restored from the sync location. If one device still has a complete library, do not replace it. On desktop, export an HTML backup before setting up a new sync option.

The desktop app appears to have disappeared

On Windows, look for BookmarkPro in the system tray. On macOS, use its menu bar icon, Dock icon, or configured shortcut. The app may still be running after its main window is hidden.
